Billed for the work that was done.

Invoicing should be a by-product of the work, not a Friday-night job. Moonfoos generates the invoice when the task is completed: the delivery note and the invoice are built from the item pricing you set per site, for the visits that actually happened. The client is billed for what was done — not what was planned, and not what somebody remembered.

Invoicing

Why finance loves it

The invoice writes itself

When the task is completed, the invoice is ready. No assembling line items from a spreadsheet at month-end.

Item pricing per site

Each hotel or office has its own price list. The invoice pulls the right price for the right visit, automatically.

The delivery note is attached

What was done, when, by whom, with the evidence — the delivery note and the invoice come from the same record.

The task is done, the invoice is ready.

The moment a task is completed on site, Moonfoos knows what was done, at which site, and at what price. The delivery note and the invoice are generated from that record — item pricing per site applied automatically. By month-end, invoicing is a send, not a build.

Per-site price lists

Set the item pricing for each hotel or office once. Every invoice for that site pulls the right prices.

Only what was done

A visit that did not happen is not billed. The invoice follows the completed task, not the plan.

The budget, watched as the month runs.

Every service consumption is tracked against the budget threshold you set per site. When a client is approaching their cap, you see it in the month — not in the dispute after the invoice.

Thresholds per site

Set the budget for each site’s service consumption and watch it fill as the work happens.

The overage, flagged early

Approaching the threshold raises a flag while there is still time to talk to the client, not after.

The client sees the proof

The delivery note, shared

The client sees what was delivered, when and by whom, with the quality-control evidence attached. The invoice lands with the proof already accepted.

Fewer corrections, faster payment

When the invoice matches the record the client can see, the correction cycle shortens and the payment follows.

FAQ

Questions we get asked

Does Moonfoos send the invoice or just prepare it?

Moonfoos generates the delivery note and the invoice from the completed record. Whether it goes out from Moonfoos or is exported into the system you already invoice from is a setup choice — the numbers and the evidence behind them are the same either way.

How is per-site pricing set up?

Each site carries its own item pricing — the price list for that hotel or office — and every invoice for that site pulls from it. You set it once, and the completed visit picks up the right price without anyone looking it up.

What happens when a visit is cancelled?

A visit that did not happen is not billed, because the invoice follows the completed task rather than the plan. If your contract carries a cancellation term, that is a charge you add deliberately rather than one the system assumes on your behalf.

How does the budget threshold work?

You set a budget for each site’s service consumption, and consumption is tracked against it as the work happens. Approaching the threshold raises a flag while there is still time to talk to the client — which is the point, because a conversation in week three is cheaper than a dispute in week six.

Invoice the work, not the plan.

Thirty minutes, live product, no slides. Bring a site with an awkward price list and we will invoice a month of its visits from the record.
